About the Role
The role is with a high-rise condominium builder and will act as the Manager of the team and process subject matter expert, overseeing and enhancing the end-to-end accounts payable functions. This includes managing the team and full payment cycle, coordinating with Treasury for fund releases, and conducting banking and administrative duties. In addition to analyzing and processing complex transactions, the Manager will coach new hires and existing staff, and collaborate with the CFO to develop and implement enhancements in all accounts payable processes.
Responsibilities
- Lead and manage the accounts payable team, setting objectives, performance standards, and strategies for process improvements.
- Serve as a Process Expert: Managing the complete accounts payable functions, from the payment cycle, coordinating fund releases with Treasury, to executing banking and administrative tasks.
- Month-End Variance Analysis: Assisting with the preparation and presentation of month-end variance analysis reports, providing commentary on actual versus budget versus forecast for both cost and cash.
- Complex Accounting and Reporting: Navigating through complex construction and project accounting requirements and reporting critical data and analyses to senior management.
- Multi-Site AP Management: Overseeing daily and weekly accounts payable processes for multiple sites and vendors, ensuring swift and accurate completion in a high-volume setting.
- Support and Resolution: Aiding site teams, clients, and vendors in resolving accounts payable issues and responding to queries, ensuring smooth fiscal interactions.
- Approval and Compliance Assurance: Ensuring proper approval processes are followed, including matching of purchase orders and adherence to company policies and procedures.
- Vendor Reconciliation: Meticulously reconciling vendor statements, identifying and resolving discrepancies, and addressing aged items efficiently.
- Manage relationships with vendors and collaborate with the Treasury department to ensure smooth fund releases and banking operations.
- Supplier Communication: Engaging in transparent and constructive discussions with suppliers regarding invoices and problem resolution.
- Periodic AP Process Reviews: Reviewing accounts payable processes, identifying areas for enhancement and implementing actionable solutions to optimize operations.
- Team Development and Collaboration: Coaching new hires and existing staff to uphold quality and efficiency, while also collaborating with the CFO to develop and implement process enhancements.
About the Candidate
- Must be able to work 5 days a week in the office.
- Preference will be given to those with real estate development and construction experience.
- 2 to 3 years in a complex AP environment or general accounting function.
- Nice to have experience with a major ERP system.
- Excellent verbal and written communication skills, willing to train and lead others.
- Exceptional attention to detail and organizational skills.
- Intermediate in Microsoft Office – Word and Excel.
- Willingness to take on new challenges, responsibilities, and assignments.
